WYD08 WEBSITE AND STATIONERY GUIDELINES

A number of dioceses and Church-recognised organisations are developing websites (or new pages) to notify information about their own programs in preparation for WYD08. Many are also in the process of developing special stationery such as business cards and letterhead for their new secretariats and diocesan offices.

WYD08 encourages this activity and has received many enquiries about how the WYD08 logo can be used. We have created a set of guidelines and developed a list of helpful DOs and DON’Ts to assist in this process.

All use and/or display of the WYD08 logo, communications, imagery and marketing materials by any person or entity, whether they are Church recognised or other organisations, for any purpose whatsoever must first be approved by the World Youth Day 2008 office.

We welcome your co-operation in respecting, protecting and promoting the visual imagery of WYD08 and we value your intended participation and support.

GUIDELINES

WYD08 encourages and indeed is reliant on the support of dioceses, parishes, youth groups and other Church-recognised organisations in assisting with the promotion of WYD08 via their own websites and in the ‘look and feel’ developed for WYD08 diocesan offices.

We have found however that some websites too closely resemble the official WYD08 website. This can lead to people being confused about whose website they are visiting, where website links are taking them and what the ‘official’ WYD08 information is.

In the case of letterhead and business cards in particular, we have found that many diocesan offices/WYD08 secretariats have wanted to develop purely WYD08 designs, rather than using the WYD08 logo in conjunction with their own diocesan ‘look and feel’. This can also be confusing, making it unclear where the correspondence is coming from and which organization the contact person belongs to.

With this in mind these guidelines have been developed to ensure that:

 • There is a clear distinction between the official WYD08 website and that of a particular diocese, parish, youth group or other Church-recognised organization; and

• A distinction is maintained between diocesan offices with responsibility for WYD08 preparations, and our official WYD08 office.

SUGGESTIONS  • Feel free to discuss design concepts initially with a WYD08 Communications team representative prior to creating the website page or stationery items (and in particular prior to incurring any significant costs).

• Ensure there is a clear distinction between the Church-recognised organisation and the official WYD08 website and stationery items by following the Dos and Don’ts set out below.

DOs & DON’Ts – WEBSITE

To ensure there is a clear distinction between any Church-recognised organisation and the official WYD08 website, please:

• Do not copy or replicate the “look and feel” of the official WYD08. This would include any: • images or icons (aside from the WYD08 logo) • artwork • functionality • fonts • format • colours For example: avoid using the same colours or design of the official WYD08 website, use your own in conjunction with your logo.  Do not copy or download the countdown clock or the shop front icon from the official WYD08 website.

• Make it obvious who owns the website - do not use the WYD08 logo in isolation – it must always be used as a secondary logo in conjunction with your own logo. For example: prominently display your own logo on each web page, even if the section deals with Days in the Dioceses, Journey of the WYD Cross and Icon or other WYD08-related matters. - Theme your web pages with your own logo colours, not those of WYD08. - The WYD08 logo should be no larger than your own logo.

• Prominently display a website hyperlink to the official WYD08 website, with appropriate acknowledgment. For example:

For further information relating to the Days in the Dioceses program and World Youth Day Sydney 2008, please visit the official WYD08 website. [ensure this is a hyperlink]

• Use your own text to promote the various WYD08 programs, then use a hyperlink to connect pilgrims to the home page of the official WYD08 website. For example:

For further information relating to the WYD08 Song Competition and World Youth Day Sydney 2008, please visit the official WYD08 website. [ensure this is a hyperlink]  • Ensure you have obtained the appropriate authorisations to use any other imagery. For example:

Ensure you have obtained permission to use photos taken from the official WYD08 website other than those in the photo gallery

• Do not copy or replicate any pages from the official WYD08 website – use a hyperlink instead (refer to above). For example:

Do not replicate the Days in the Dioceses page from the official WYD08 website on to your own website - use a hyperlink instead.

• Always apply the basic rules of use of WYD08 logo when using the logo

DOs & DON’Ts - STATIONERY

• Prominently display your own logo on each stationery item so that it is obvious which organization you are from.

• Do not use the WYD08 logo alone - use of the WYD08 logo should be secondary to your own diocesan organisation’s logo. For example: prominently display your own logo on each stationery item. - The WYD08 logo should be no larger than your own logo.

• Do not use titles like “World Youth Day 2008 co-ordinator” unless there is a clear reference to your organization also.

• Apply the basic rules of use of WYD08 logo when using the logo

SUGGESTED FORMATS

Letterhead: Please take into account the following suggested guidelines when creating letterhead: • If your own organisation’s logo normally appears on the righthand side of the letterhead: please incorporate the WYD08 logo in the lower right hand corner. • If your own logo normally appears on the left-hand side of the letterhead: please incorporate the WYD08 logo in the top right hand corner (or lower right corner if you prefer). • If you wish incorporate the WYD08 theme, please place it as a running footer at the foot of the page.

Business Card: We have prepared a template for use by the dioceses when creating business cards for their WYD08 offices.

CONTACT US

If you have any queries about the creation of website pages or stationery items or any of these guidelines, please call the World Youth Day office and speak to a member of the Communications team: +61 2 9390 5900.

No element of the logo may be changed in any way when reproducing it and no element may be used in isolation from the other elements e.g you cannot use the Cross or the flames alone.

Note: In instances where production dimensions require a landscape design logo rather than the standard portrait design logo, please contact a member of the WYD08 Communications team.

Colours  The colours in the logo should be strictly adhered to. The colours for the logo are demonstrated below:  Size The logo must never be less than 2 cm high (this ensures that the writing below remains legible).

Positioning of the WYD08 logo

1. The WYD08 standard logo should wherever possible be placed on a white background (see “Bordered version” below if a white background is not possible)

2. When placing the logo on a page, an ‘exclusion area’ of clear space needs to be left around the logo so that it remains clear and prominent. The exclusion area is equal to the height and width of the 08 in WYDSYD08 in the logo you are using.

3. When using the logo on print media (ie in a flyer, on a poster, an advertisement etc), the preferred positioning is the lower right hand corner.
Using the logo with other commercial logos

Materials displaying the WYD logo must not contain any reference to any other commercial product or commercial organisation (except where this is the subject of a formal agreement with WYD08).

Bordered version of the WYD08 logo The bordered version of the WYD08 is to be used when the logo is placed on a background which is “busy” or solid eg when placed over a photograph or coloured background. It can be emailed on request.

Font  The primary font to be used is DIN font so we recommend that all materials carrying the WYD08 logo use DIN font (DIN light and DIN Medium are preferred for Body copy). This is a special font and can be emailed on request.

Verdana, a standard Microsoft Office font is an acceptable secondary font.  Contact us  If you have any queries about the use of the logo or any of these guidelines, please contact: logoenquiries@wyd2008.org
